Trust Accountant & Portfolio Manager

We are a boutique firm based in Melbourne’s South East. Established in 1987, we are trusted, local and experienced. Our clients come to us time and time again knowing that, with integrity, local expertise and years of experience they are in capable hands.  


Our Facey family is growing!  We currently have two full-time, positions available: 

  • Trust Accountant
  • Portfolio Manager


Trust Accountant

  • Receipting and reconciling daily online transactions; 
  • Audit data entries for new and vacating tenancies; 
  • Accounts payable and receivable, creditor payments, invoicing, entering fees and charges; 
  • Tenant rental adjustments, reconciliations and refunds; 
  • Owner disbursements, monthly statements and financial reporting; 
  • Filing of accounting documents; 
  • Administering budgets and department financial reporting; 
  • Statutory mid-month and end of month procedures; 
  • Preparation for annual trust account auditing; 
  • Actively look for ways to streamline procedures and make the department more efficient.


Portfolio Manager

  • Mixed portfolio; commercial, retail and industrial of approximately 150 properties. 
  • Property Inspections – commencement, termination and annual routines. 
  • Lease Renewals/Rent Reviews – compliance, negotiating reviews and finalising Deed of Renewal documents. 
  • Maintenance – Liaising with key stakeholders, inspecting works, compliance and ESM. 
  • Administration – understanding Lease documents, debtor notices, entering Invoices, outgoing reconciliations & adjustments and liaising with various authorities.  
  • Rental Arrears – regular action, issuing breach notices, lockouts, VCAT when required.  
  • Insurance – monitoring payments and lodgement of claims.  
  • Actively look for ways to streamline procedures and make the department more efficient. 



  • Are computer literate across the MS 365 Office suite 
  • Have previous real estate experience
  • Have a Victorian Agents Representative Certificate (Portfolio Manager)
  • Can produce a clear, current National Police Check (we’ll pay for this!)
  • Have a reliable car and driver’s licence 
  • Are a team player 
  • Possess a high level of initiative 
  • Have solid time management skills 
  • Attention to detail is paramount 


A distinct advantage: 

  • Previous experience with RP Office
  • Knowledge of Cirrus8
  • Knowledge of Retail Leases Act
